CaPP focuses and filters our materials through the field of positive psychology giving coaches the power to better understand and adapt to clients needs.
POSITION OVERVIEW
The Program Assistant is a full-time role responsible for supporting the execution, administration, and coordination of CaPP Institute programs and related content activities.
This role blends program administration, participant support, and social media execution to ensure a smooth participant experience, consistent communication, and strong operational follow-through. The Program Assistant reports to Kristen and works closely with Program Managers, Marketing, and Operations to support delivery excellence across CaPP programs.
This position is execution-focused and does not own program strategy, marketing strategy, or enrollment targets.
ABOUT THE ROLE
You will be responsible for the following:
General Administrative support :
• Serve as an initial point of contact for participant and general inquiries submitted through website forms, phone calls, and inboxes for the CaPP Institute.
• Monitor the CaPP Info inbox and voicemails, and route messages or action items to the appropriate team member
• Respond to general questions regarding program details, schedules, and logistics
• Assist with scheduling interest calls and follow-ups
• Assist with monitoring monthly payment plans for all programs and supporting accounting with any incomplete payments, payment method updates, or other accounting support for the CaPP programs
• Collaborate with team members to address customer concerns and improve the overall customer experience
• Maintain a customer and graduate database and ensure accurate and up-to-date records for all programs
General Program Support:
• Support the tracking of attendance for required sessions and quarterly trainings via Zoom
• Review participant materials to support timely confirmation of submissions to include intake forms, read receipts, homework, coursework, graduation materials, and other related submissions.
• Support certificate creation and distribution across all programs
• Support LearnWorlds course updates, participant access needs, and basic troubleshooting
• Support the development and ongoing review of standard operating procedures, policies, and internal communications.
• Provide logistical and administrative support during live programs and training sessions
• Maintain organized documentation related to accreditation, policies, and procedures
• Supports alumni requests for digital certificate(s) for their programs
Marketing & Event Coordination – the Coach Training Intensive
• Support the yearly event checklist and execution strategy for the quarterly Coach Training Intensive to include:
o Maintaining rosters
o Collaborate with Program Managers and Directors to make quarterly edits to materials
o Order and maintain supply of all welcome packet materials
o Prepare all training materials for the Co-Trainers, Talent, Host, and Program Managers
o Create and finalize all coaching groups for co-trainers and Zoom
o Create quarterly Zoom meetings for trainings
o (to be completed on Thursday after review of CTI Checklist)
• Execute social media posts from existing content plans, briefs, and brand guidelines during the CTI weekend promotions
• Coordinate with Marketing and Program Managers on content timing and execution of the CPEC + MCE promotions during the CTI weekend promotions
Social Media Execution & Community Support
• Execute day-to-day social media posting for the CaPP Institute
• Schedule and publish content across Instagram, Facebook, LinkedIn, YouTube and other platforms as needed
• Maintain consistent posting cadence aligned with content calendars, launches, and events
• Ensure all CaPP posts are professional/educational and on brand/voice
• Monitor daily comments, direct messages, and mentions and respond in a timely, warm, on-brand and professional manner for primary groups (but not limited to): Facebook (Page + Graduate Group), Instagram, LinkedIn (Primary Driver), and YouTube
• Escalate sensitive inquiries, coaching questions, or enrollment-related messages to appropriate team members
Collaboration & Reporting
• Track and report engagement and participation metrics across all social media platforms and email communications
• Track and report registration numbers, program leads lists, results from intake surveys, and other program metrics as needed for the ATC, Marketing, and Team meetings.
• Submit requests for graphics, video edits, and creative assets to the Marketing Team
• Collaborate across Program, Marketing, and Operations teams to ensure timely follow-through with deliverables

REQUIRED QUALIFICATIONS + KNOWLEDGE
• Minimum of 2 years of experience in administrative support, program coordination, social media execution, or marketing coordination
• Strong written and verbal communication skills
• Strong organizational and time-management skills
• Detail-oriented and a self-starter, able to assist with the development of new standardization measures and procedures
• Comfort working with Zoom, Google Workspace, and social scheduling tools
• Familiarity with learning management systems, CRMs, or similar platforms preferred
• Experience supporting online programs, events, or communities preferred
• Basic experience with Canva or simple video editing tools
• Familiarity with online and virtual training
• Experience using MS Office, Google Workspace and Dropbox
• Experience updating content on social media platforms including Facebook, Instagram and LinkedIn
• Knowledge of Learnworlds, Keap and Monday or similar systems is preferred
JOB DETAILS
The position is full-time, 36 hours per week during regular business hours, Monday -Thursday, 9-5 EST and Fridays 9-1 pm EST. The successful applicant should be able to work weekends 4x a year to accommodate the CTI program.
The position is based in Atlanta, GA and the ideal candidate will be within a 1-hour commutable distance. The position is primarily remote but will be required to work in the office occasionally.
Benefits include a medical insurance stipend, a 401k plan, ten PTO days per year and paid holidays.
