POSITION OVERVIEW
Capitol Village Schools is looking for a collaborative and people-centered full time Operations Executive Assistant that will administratively support the Executive Director of the School and also serve as the primary point of contact for external vendors and managing those relationships effectively. They will work closely with the leadership team and office staff to ensure that operational and administrative needs are met.

Capitol Village Schools is looking for a collaborative and people-centered full time Operations Executive Assistant that will administratively support the Executive Director of the School and also serve as the primary point of contact for external vendors and managing those relationships effectively. They will work closely with the leadership team and office staff to ensure that operational and administrative needs are met.
JOB DUTIES
- Support the Executive Director with administrative support to include meeting coordination, email management, travel arrangements, and expense reporting.
- Respond to messages on behalf of the Executive Director received via email or phone and provide customer service or direct correspondence to the right person.
- Serve as point of contact for operations department vendors/contractors.
- Complete any needed research and present clear recommendations on new vendors or prospects.
- Maintain vendor/service agreements, approve work completions, and report status.
- Work in the approval queue for bills before payment.
- Meet regularly with office staff to coordinate school activities and operational needs of school
- Lead procurement with external vendors to include contract signatures and compliance.
- Take on special projects or ad-hoc tasks as requested by the Executive Director, including research, process improvements, and other operational needs that support school growth.
REQUIRED QUALIFICATIONS + KNOWLEDGE
- Proficient in executive office administration or a similar position with at least 3 years’ experience
- Associates Degree in Business or related field is preferred.
- Prior leadership role and school experience is a plus.
- Spanish speaking preferred.
- Proactive in seeing what needs to be done, proposing a solution, and taking initiative.
- Comfortable working remotely with a highly skilled, distributed team.
- Detail oriented with exceptional organizational, time management, and communication skills.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Excellent communication skills (verbal and written).
- Strong organizational, analytical, decision making and administrative skills.
- Great phone and interpersonal skills – you’re polite, personable, helpful, and positive.
- You use discretion, good judgment and take the initiative to learn what you need to perform your role with excellence .
- You can pull all the necessary and concrete details out of the Executive Director and turn them into tangible steps and processes.
- Proficient with Word, Excel, PowerPoint, Outlook.
- Proficient with Windows, Apple Products and Mac Operating System.
- Able to establish and enhance effective working relationships with co-workers.
REQUIRED LOCATION DETAILS
- Work location is 100% daily in person Monday-Friday 7:45-3:45 pm ET at our school location in Northeast DC. Occasionally, you may be asked to work on evenings for special meetings, but this is very limited.
